Connecting Bank Feeds to QuickBooks
If you do one thing to make QuickBooks less painful, connect your bank feeds. They pull transactions in automatically, so your job shifts from typing every transaction to simply reviewing them. It's the highest-return setup task in the entire app, and it's the foundation everything else — categorization, reconciliation, reporting — is built on.
Connect every account
Link every business bank account and credit card. Import history when you connect so you have a complete picture, and — importantly — do this before you start manually entering transactions, or you'll create duplicates you then have to untangle. One source of truth, flowing in automatically.
Let bank rules do the sorting
Bank rules are where the real time savings live. Create a rule once — "anything from this vendor goes to this account" — and every future match is categorized automatically. Spend an hour building good rules and you'll save that hour back every single month. Well-tuned rules can handle the large majority of your transactions without a human touching them.
Review, don't rubber-stamp
Automation gets you most of the way; a quick human review catches the rest — the miscategorized outlier, the personal charge on the business card, the duplicate. Clear the review queue regularly so it never becomes an intimidating backlog. Little and often.
Keep the feeds healthy
Banks periodically change their security or login process, which can quietly break a feed. When that happens, reconnect promptly — a feed that's been down for three weeks means three weeks of missing transactions and a reconciliation headache. A quick monthly check that all feeds are live saves a lot of pain.
The goal isn't zero work — it's zero typing. Let the feed bring the data; you just make the decisions.
Reconcile monthly regardless
Bank feeds make reconciliation easier, but they don't replace it. Still reconcile each account against its statement every month to confirm the feed didn't miss or duplicate anything. Feeds are a convenience, not a guarantee.
