
Getting Started with QuickBooks Online: A Setup Checklist
A new QuickBooks Online file is a blank slate, and the choices you make in the first hour shape how clean your data stays for years. Get the foundations right and everything downstream — reporting, reconciliation, tax time — is easier. Get them wrong and you'll be untangling it for months. Here's the exact checklist we run on every new setup.
1. Set the foundations
Before entering a single transaction, lock in the basics under Settings → Account and settings:
- Company name, address, and industry
- Fiscal year start month
- Home currency (and multicurrency only if you truly need it — it can't be switched off later)
- Accounting method: accrual vs. cash
2. Organize the chart of accounts
Your chart of accounts is the backbone of every report. Keep it lean — a shorter, well-organized list beats hundreds of rarely used accounts. If you're unsure how it should be structured for your reporting, that's a conversation for your accountant; our job is to make sure whatever structure you land on is set up cleanly in the software.
3. Connect your banks
Under Transactions → Bank transactions, connect each business bank and credit card account. Live feeds are the single biggest time-saver in QuickBooks — they pull transactions in automatically so you're reviewing, not typing. Connect before you start categorizing to avoid creating duplicates.
4. Set up users and permissions
Invite your team with the least access each person needs. QuickBooks lets you scope users to specific areas, so your salesperson can create invoices without seeing payroll or moving money. It's easier to start tight and loosen than to claw access back later.
5. Brand your templates
Customize your invoice, estimate, and sales-receipt templates with your logo, payment terms, and messaging now, so every document you send looks consistent and professional from day one.
6. Turn on the automations that matter
Recurring invoices, bank rules for auto-categorization, and automatic payment reminders take minutes to switch on and save hours every month. Setting them up during initial configuration means you're never doing that work by hand in the first place.
